Recreation Commission Meeting

Thursday, March 19, 2015

Roll Call: David Nichols, Greg McCart, Mary Teufel, Georgia Bergan, Kevin Ralston, Loretta Davis, Bill Puthoff. Kirsten Lucas was absent.

Call to Order  at 7:33am

Recognition of Visitors –Nancy Hagner, Recreation Programmer, and Mary Ellen Kramer – WeTHRIVE!

Motion to approve the January minutes was made by Loretta Davis; seconded by Greg McCart.
Motion approved.

Additions to the Agenda: none

I.  New Business
a. Nancy Hagner, Program Supervisor
Nancy grew up in Evendale. She was a member of Phi Lambda Pi; she has been a pool attendant, lifeguard, and an assistant pool manager. She went on to work as a clerk at the front desk, then transitioned into the Recreation Programmer role she holds today. Her programs include “Snow Much Fun Fest”, “Daddy Daughter Dance”, “Egg-Stravaganza”, the “Family Pool Party”, the “Dive-In Movie”, the “Sunday Grill Out at the Pool”, “Mother Son Night of Fun”, “Halloween Fest”, and the “Gingerbread House Decorating Event”. Nancy also coordinates all the donations for the July 4th Combination Raffle fundraiser for Phi Lambda Pi. (Snow Much Fun, Halloween Fest, and the Combo Raffle are probably her favorite events.)
Georgia Bergan said Nancy does everything very well; and that she has set “the Nancy standard,” which Georgia, uses “to judge” other events/programs she attends.  
b. Start “wish” list for FY2016 budget
Commissioners should contact David with items for our FY2016 budget. In July, the budget sub-committee will review these for inclusion into the FY2016 budget.

II. Old Business
a. Lifestyle Essentials’ Monthly report - as noted
The leg curl machine has a major mechanical issue and is in the process of being replaced. The new machine will be here mid-April.
As David plans to replace the selective weight machines next year, this will be a good test with the replacement piece.
b. WeTHRIVE! – Community Action Plan – Mary Ellen
Please review the Community Action Plan, and plan to discuss the plan at the April meeting. Consider carefully the noted target dates.
April 16th is “WeThrive Day”; this also happens to be the Commission’s next meeting date.
c.  2015 objectives/goals - David asked commissioners for suggestions regarding goals & objectives for the department.       

III.  Director’s Report
a.  Open-Air Shelter
· The rental fee is $30, and reservations are underway. The first reservations are for Memorial weekend (the first available dates).
· Accessories are: a grill, picnic tables, and restrooms.
b. Hamilton County Regional Planning Commission 2015 nomination form submittal update
The department is the co-winner of the Frank F. Ferris II Award for our Bike and Pedestrian Master Plan.
c. The village was also awarded a grant to stabilize (re-slope and add native plants) an area along the Millcreek.
We hope to add a bike and pedestrian path in this same area.
d. Outdoor spa
The outdoor spa had leaking issues last year which are currently being repaired. In order to make repairs, we have to dig up the area around the spa.
While we have the spa out, we are going to build a wall under the spa with an access hatch. This new access will allow us to make future repairs (hopefully, in the way distant future).
e. Off-season Pool Work
· A fourth shade umbrella is going to be installed near the wading pool to generate more shade in that area, hopefully increasing the usage of the wading pool.
· The slide structure will be resurfaced. The louvers will be painted. The “pink” area on the pool deck will be re-stained.
· The deck area by the diving board has heaved so this area will be fixed. The diving board itself will be re-surfaced.
· While we are repairing areas that have heaved during winter conditions, we will also repair the sidewalk between the pool and the recreation center.
f.   Randan Shaw was recently hired full-time as our information technology (IT) specialist.
 
IV.    Phi Lambda Pi Report
· Nine members will volunteer at the department’s Egg-Stravaganza on Friday.
· The Annual Awards Night Program is Friday, April 17.
· The group has decided to go with micro-chips for this year’s 10K Run on July 4th.
· The kids will also be volunteering during swim team championships in July.

V. Open Discussion
· Entrance electronic sign boards will hopefully go out to bid next month.
· Kevin is coaching our D1 knothole baseball team this Spring. Kevin is eager to get the kids into the batting cage in the next week or so.
· Spring tennis will start shortly. Registrations are underway for Summer programs also.
· Next meeting Thursday, April 16, 2015, 7:30 a.m.
